1. Start with your problems, not a feature list
Write down the three things that hurt most today: perhaps late timesheets, unknown project margin, or staffing by spreadsheet. Judge every tool by how well it fixes those.
2. Follow one engagement end to end
Ask each vendor to show a single piece of work from opportunity to paid invoice: the proposal, the contract, staffing, time, a change request, billing and the final margin. Every hand-off between screens or systems is where data gets re-keyed.
3. Ask how it connects to accounting
This is the question most buyers forget. If the PSA does not include accounting, how do time, expenses and invoices get into the ledger? Who builds and maintains that integration, and what happens when it breaks?
4. Check resource management in detail
- Can you staff by skill, certification and availability?
- Are tentative and firm bookings different?
- Can you see capacity weeks or months ahead?
- Does it warn about overallocation and unstaffed work?
5. Check billing models
Time and materials, fixed fee, milestones, retainers and subscriptions: make sure the tool handles the ones you use, with rates by role and by client.
6. Customization without consultants
Can your own administrators add fields, change page layouts and rename things to your words? Or does every change need a partner or developer?
7. Multiple entities and currencies
If you work across countries or plan to acquire, check how legal entities, currencies and intercompany work are handled now, not on the roadmap.
8. Security and sign-in
Look for roles and permissions, access by part of the organization, an audit log and single sign-on. Check whether single sign-on costs extra.
9. Total cost of ownership
Add the license to implementation, integrations, add-ons and the admin time to keep it running. Our guide on total cost of ownership walks through it.
10. Plan the rollout
Ask what you can switch on first, how data is imported from spreadsheets, and whether you can add modules later without re-implementing.

Questions
How long does it take to implement a PSA?
It depends on scope and data. Starting with one area, importing clients and people from spreadsheets, and adding modules later keeps the first phase short.
Should single sign-on cost extra?
It often does with enterprise software. Perspectiv includes single sign-on with SAML or OpenID Connect in every plan.
