Workflow

Procure to pay, with the project in view

Buy well, and keep suppliers in the loop.

Service businesses buy software, equipment, travel and subcontracted work, much of it for a client project. Perspectiv takes a purchase from request to payment and puts the cost on the project it was for.

The steps

  1. A purchase request, linked to a project if it is for one
  2. Approval routed by amount and budget
  3. A purchase order sent to the supplier
  4. Goods or services received against the order
  5. The supplier invoice, submitted through the vendor portal
  6. Invoice matched to the order and receipt
  7. Payment scheduled and recorded
  8. Costs on the project and in the accounts

Where it usually breaks

Spending that nobody sees until the invoice arrives. Requests are made by email, orders are raised after the fact, and supplier invoices are chased through inboxes. Project managers find subcontractor costs on their budget weeks later.

How Perspectiv connects it

Every purchase starts as a request with an owner and, where it applies, a project. Approvals follow your rules, orders go to suppliers, and suppliers keep their own details up to date and submit invoices through the vendor portal. Matched invoices flow to payables, and the cost lands on the project straight away.
