The total cost of ownership of business software

The license fee is the easiest number to compare and the least complete. Here is what else to count before you decide.

What to count
  • Licenses and add-ons
  • Implementation
  • Integrations
  • Administration
  • Customization
  • Switching later

What to count

  • Licenses: per user, per module, and how prices change as you grow
  • Add-ons: features sold separately, such as single sign-on, extra storage or advanced reporting
  • Implementation: setup, data migration and training, whether by the vendor, a partner or your team
  • Integrations: connecting separate tools, and maintaining those connections when either side changes
  • Administration: the time your team spends configuring, fixing and supporting the system
  • Customization: developers or consultants needed for changes your team cannot make
  • Switching: what it would cost to leave, including exporting your data

The hidden cost of a stack of tools

Five separate tools can each look affordable. Together they mean five subscriptions, several integrations, data entered more than once and reports that need reconciling. Count the time spent moving data between them.

Compare fairly

Price the same scope for each option over three to five years, including the services and internal time each one needs. A tool with a higher license fee can be cheaper overall if it replaces several others and needs no integrations.

How Perspectiv approaches cost

Perspectiv is built to keep total cost low: one platform instead of a stack, changes your own administrators can make without developers, no integrations between separate tools, and single sign-on included in every plan. See pricing.
