When to stop running your business on spreadsheets

Spreadsheets are a great way to start. They become a problem when several people depend on the same one, and nobody is sure which version is right.

Import from a spreadsheet
  • Company name → Account name
  • Owner → Relationship owner
  • Sector → Industry
  • City → Location

Signs you have outgrown them

  • Several versions of the same sheet are in circulation
  • Only one person understands the formulas
  • Information is copied between sheets by hand
  • Nobody can see who changed what, or when
  • Answering a simple question means combining three sheets

What to move first

Move the sheet that causes the most pain and that the most people touch. For many service businesses, that is the client list, the staffing plan or the timesheet.

Keep the import simple

Good software lets you import from a spreadsheet and match your columns to its fields as you go. Clean up duplicates before importing, import a small test batch first, and keep the original file until you have checked the result.

Keep the parts you like

People like spreadsheets because they can filter, sort, group and choose columns. Look for software where every list does the same, can be saved as a view and can be exported when someone needs a spreadsheet after all.

Switch in stages

  1. Import the data
  2. Run old and new side by side for a short period
  3. Stop updating the old sheet, and make it read-only
  4. Move the next area
